Archives Associate, Women & Leadership Archives, Loyola University (Rogers Park)
Full time; salary range $60,000-65,000
Job Description:
Collection Accessibility:
-Arranges and describes Archival Collections. Updates finding aids and addresses preservation needs for Collections.
-Tracks unprocessed Collections. Updates internal documentation to make Collections more accessible to WLA staff.
-Makes Collections available online by posting finding aids and digital materials and creating other resources via various Loyola University Chicago and collaborative platforms.
-Updates list of unprocessed materials to determine processing priorities and prepare for future processing.
Research and Reference:
-Provides reference services and responds to reference requests by phone, email, and in person. Uses knowledge of Collections to assist onsite Researchers.
-Conducts research for WLA projects including exhibits, publications, events, and internal reference needs.
-Updates Researcher Tracking Sheets as necessary.
Outreach:
-Assists in instruction and organizes educational activities for classes and occasionally creates exhibits.
-Manages WLA social media including Facebook, blog, and YouTube. Edits/creates content and organizes student participation.
-Manages WLA Mailchimp account and creates content for regular newsletters and email announcements.
-Works with director to plan and coordinate outreach efforts including in-person and online events and programming.
-Collaborates with other Loyola University Chicago Departments, donors, and local organizations to coordinate programs that promote the WLA and its Collections. Creates promotional materials, contributes to event planning, coordinates Staff and Volunteers.
-Regular outreach responsibilities include Open House Chicago and Mundelein College Reunions.
-Creates engaging content including online resources to highlight WLA collections.
Administration:
-Monitors WLA voicemail and changes greeting as appropriate.
-Monitors and sends mail, coordinating pickups and drop-offs.
-Updates and maintains SharePoint as needed.
-Maintains lists of contacts for WLA including records and financial donors, researchers, partners, and web signups.
-Maintains documentation of policies and procedures for WLA staff.
-Assists in training graduate assistants and volunteers in WLA procedures and using the collections. Prepares projects and training as appropriate.
Other duties as assigned.
Organizational Involvement:
-Participates in Library and University Committees as appropriate.
-Participates in Committees in partner organizations including the Chicago Collections Consortium.
Professional Development:
- Maintains relevant and current knowledge of the field through professional reading and attending professional development courses and activities.
Qualifications:
An ALA-accredited MLS/MLIS with concentration in Archives and a minimum of two years’ experience processing archival collections, with knowledge of archival theory and practice
Two or more years of relevant Archival experience.
Demonstrated knowledge of current Archival theory and practice.
Experience arranging and describing Archival Collections.
Flexibility, creativity, and proven ability to work as part of a Team.
Experience with Microsoft Office Suite (Word, Excel, SharePoint).
Knowledge of one or more of the following: ArchiveIt, ArchivesSpace, PastPerfect, Preservica, T4, WordPress.
Educational qualifications: Master’s Degree in Library Science, Public History, or a related field,
